New question
LGLaura Gómez asked · Today, 09:41

What's our process for approving a new supplier?

Answer · from 4 records in the Operations vault

New suppliers go through three stages, owned by Procurement:

  1. 1Request. The requesting team submits the supplier form with two comparable quotes.1: source Supplier approval procedure
  2. 2Review. Procurement checks financial standing and quality certificates; Finance confirms payment terms.1: source Supplier approval procedure2: source Payment terms policy
  3. 3Approval. Suppliers with expected annual spend above €25,000 need sign-off from the Operations lead.1: source Supplier approval procedure

Why two quotes? After a packaging shortage in 2023, leadership decided every critical category should keep a second approved supplier.3: source Keep a second supplier for critical categories4: source Packaging supply review

01The problem

Your company knows more than it remembers.

Every company builds up hard-won knowledge — why a price was set, how a process really works, what was tried and didn’t work. Most of it was written down somewhere. Very little of it can be found when it matters.

Heard in almost every company
  • “Does anyone know why we stopped working with that carrier?”
  • “Who set up the returns process?”
  • “I think there’s a doc for this somewhere.”
  • “Ask Marta — oh, she left in March.”
  1. 01

    Knowledge is scattered

It lives in shared drives, inboxes, meeting notes and people’s heads. Nobody has the full picture.

  2. 02

    Decisions lose their reasons

The decision survives. The reasoning behind it doesn’t — so it gets questioned, or quietly reversed.

  3. 03

The same questions, again and again

Teams interrupt the same few people for answers the company already worked out.

  4. 04

    Experience walks out the door

When someone changes role or leaves, years of context leave with them.

  5. 05

    Processes get rediscovered

Work that was figured out once gets figured out again — a little differently each time.

None of this shows up on a balance sheet. It shows up as slower onboarding, repeated mistakes and decisions made without the full story.

02Organizational memory

Not another folder. A memory that keeps the links.

Opsmory organizes what your company knows into documents, decisions, procedures and projects — and keeps track of how they relate. Find one thing, and you find everything that explains it.

JMJordi Mas asked · Today, 11:20

Why did we change our onboarding process?

Answer · composed from 5 records

In March 2025, leadership replaced the two-week onboarding program with a 30-day plan. Two findings drove the change: new hires said their first-week priorities were unclear, and exit interviews pointed to weak support once the initial program ended. The new plan was piloted with the Valencia warehouse team before rolling out company-wide in April.

Each statement links to the record it came from. Open any of them to read the original, exactly as it is stored.

Outdated records are called out

Decisions keep their history

04How it works

From scattered to remembered, in three steps.

No new habits to force on every team. Your knowledge gets a structure, the structure gets connections, and people get answers.

  1. Step 1: Connect your knowledge

Bring documents, decisions and procedures into your company’s Vault — stored as linked Markdown files your team can open, read and back up like any other file.

  2. Step 2: Build organizational memory

Opsmory links related records and keeps track of what replaced what, so context survives handovers, reorganizations and time.

  3. Step 3: Find what matters

Authorized people ask in plain language and get answers with their sources — within the permissions your admins set.

05Control & privacy

Your knowledge. Your infrastructure.

Opsmory is designed so that each company’s Vault lives on its own server, inside its own network — not in a database shared with everyone else.

The Vault stays on your servers

Your company’s records live on a server inside your own infrastructure, as plain Markdown files you can read, back up and move.

Every company is separate

Each organization has its own space, its own users and its own Vault. Nothing is shared between companies.

Permissions decide who sees what

Your admins control who can access your organization’s memory and with which role.

Access follows your network

The Vault is reachable only from devices connected to the network where its server runs. Less access from anywhere, more control over where your knowledge can be read.

Opsmory is in development. We’ll publish detailed security documentation as the product matures. Until then, ask us anything at hello@opsmory.com.

06Across the company

Not just for IT. For everyone who needs to know why.

Every team makes decisions and builds up know-how that others depend on. Opsmory keeps it where the whole company can use it.

Recover the reasoning behind strategic decisions — not just the outcome.

Ask · Leadership

Sample data

Why did we pause the expansion into Portugal?

The expansion was paused in September 2024 after the logistics cost review showed margins below target for the first two years. Leadership agreed to revisit it once the Valencia warehouse reached capacity.
